Scenarios and instructions

Make slides easier to take away and review

Printing every slide on a separate sheet can make classroom notes, staff training material or revision packs unnecessarily long. Putting several slides on one page keeps the sequence while using fewer sheets, and creates a PDF that participants can take away.

A person reviews a landscape handout containing four slides per page and checks charts with a pen beside a computer
Example scenario: arrange slides into a handout, then check text and charts before sharing or printing.

This workflow is for the visible content of presentation slides. You can add several presentations; each produces its own handout, so different courses or training sessions stay separate. If the material is already a PDF, use the PDF multiple-pages-per-sheet tool directly.

Should you choose 2, 4 or 6 slides per page?

Four slides per page is the default starting point. Two suits dense text and detailed charts; six can suit short outlines and image-led slides. Choose by the actual reading size, rather than the page count alone.

Paper orientation and slide proportions also affect the available space. Layout preserves the aspect ratio instead of stretching slides. Check the densest page for formulas, chart labels and fonts. This workflow does not create speaker-notes pages or a dedicated ruled note-taking layout.

How to use it

  1. Choose presentations

Add PPT or PPTX files. Conversion uses a cloud upload; browsing and selecting files alone does not upload them.

  2. Choose the handout layout

Start with A4 landscape and four slides per page. Try two or six to suit the text density, and add thin borders if needed.

  3. Create and check each handout

Select Create handouts and inspect each result. Print one PDF page per sheet to avoid reducing it a second time.

Check the layout and avoid shrinking it twice

The PDF already contains several slides on each page. Applying the printer’s multiple-pages-per-sheet option again would make them smaller still.

  • Open each handout and check the first and last pages, slide order, fonts, charts and formulas.
  • Print one PDF page per sheet, with paper matching the size chosen here.
  • For double-sided printing, set duplex in the printer dialog and try one sheet first to check the flip direction.
  • Handle a failed presentation separately; successful results for other files do not mean the whole batch succeeded.

Want to combine several courses into one pack?

Adjust slides per page, paper size, orientation and borders here. To merge presentations together or add watermarks or page numbers, choose “Customize this workflow” and continue in the editor. The default template keeps each presentation’s output separate.

Frequently asked questions

Are several presentations combined automatically?

No. Each presentation produces its own handout PDF. Add a merge step in the editor if you want one combined document.

Can I put six slides on a page?

Yes. Choose two, four or six slides per page. For dense slides, compare the readability of four and two before printing.

Will the handout include speaker notes?

This workflow arranges the slide content itself. It does not create speaker-notes pages or a special layout with ruled note-taking lines.

Should I also choose four pages per sheet when printing?

No. The handout already has that layout. Print one PDF page per sheet to avoid shrinking the slides again.

What if fonts or formulas change during conversion?

Check the source fonts and objects, then inspect the converted static pages before distribution. Complex presentation layouts are not guaranteed to reproduce exactly.
